HomeMy WebLinkAboutRes2004-102 I I I Sponsored by: Shealy CITY OF SEWARD, ALASKA RESOLUTION 2004-102 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF SEWARD, ALASKA AUTHORIZING THE CITY MANAGER TO ISSUE A PURCHASE ORDER FOR AN AMOUNT NOT TO EXCEED $24,000 TO NC MACHINERY FOR THE REPAIRS OF THE CITY'S 1982 140G MOTOR GRADER AND APPROPRIATING FUNDS. WHEREAS, during routine maintenance of the city's 1982 caterpillar 140G motor grader, excessive slack was found in the articulation main pins; and WHEREAS, The City's facility does not have the capability of performing this type of repair; and WHEREAS, NC Machinery is the only authorized Cat dealership in Alaska who can provide a warranty on parts and labor for repair work on the City's 1982 Caterpillar 140G motor grader; and WHEREAS, inspection of the grader by NC Machinery's mechanics identified additional repair work; and WHEREAS, City Code ~6.10.120(5) allows for an exemption from the normal bid process for "supplies, materials, equipment or contractual services which can only be furnished by a single dealer". NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF SEWARD, ALASKA, that Section 1. Competitive procurement procedures for the repair on the city's 1982 140G motor grader are not required for the reasons described in the recitals above, which recitals are incorporated herein by this reference and authorize the City Manager to issue a purchase for an amount not to exceed $24,000 to NC Machinery for the repairs. Section 2. Funds in the amount of $24,000 are hereby appropriated from the General Fund Fund balance, account number 101-0000-3050 to the Street Departments account number 101-1310-5380. Section 3. This resolution shall take effect immediately upon its adoption. PASSED AND APPROVED by the City Council of the City of Seward, Alaska, this 25th day of October 2004. Assistant Public Works Agenda Item: Repair on the City’s 1982 140G motor grader BACKGROUND & JUSTIFICATION: During routine maintenance of the city’s 1982 Caterpillar 140G motor grader, excessive slack was found in the articulations main pins. Our facility does not have the capability of performing this type of repair. The city’s mechanics contacted NC Machinery, who specializes in Caterpillar repair. They are the only authorized Cat dealership in Alaska who can provide a warranty on parts and labor for repair work. The grader was shipped to Anchorage for the repairs. After inspecting the grader, NC’s mechanics found further problems with the grader. An estimate was obtained for an amount not to exceed $24,000. See attached “Repair estimate quote”. § City Code 6.10.120(5) allows for an exemption from the normal bid process for “supplies, materials, equipment or contractual services which can only be furnished by a single dealer”. Administration is requesting approval to issue a purchase order to NC Machinery for an amount not to exceed $24,000 for the repairs to the 1982 Caterpillar 140G motor grader as NC Machinery is the only authorized Cat dealership in Alaska who can warranty the parts and labor for the repair work.
