There 300 volunteer hours and a lot of moving parts in this grant project, so please take the time to get familiar with what needs to be recorded and saved for the final grant report. Please record the required details of your work as you work rather than rely on memory. • All volunteer hours with name, date, start and end time, number of hours and description of work. • All donated goods and services. • All receipts, invoices and back up financial information. * Written quarterly narrative reports. • Note that the Independent Sector's Value of Volunteer Time by State for 2020 adjusted for Alaska $28.19/hour. The following documents will be printed for all commissioners along with printed in -kind volunteer sheets to track your hours and work in a manila envelope to keep your documents, reports and receipts. Jessica will send an email when they are ready for pick up at the Police Dispatch window. • Council Resolution 2020-079 (has grant application and corrected budget summary) • Executed Grant Agreement for HPF 20005 • Transmittal Letter for Grant Agreement I will also email the excel spreadsheet with the various reports to Jessica to send to each of you once I update them with our grant information as I just received it today. Please turn in your in -kind volunteer sheets by the end of each month by email to vkingsland@cityofseward.net or in person to the Clerk's office. This grant ends on June 30, 2021 with no extensions. Final Reports and Products: Submit the following items to OHA by July 31, 2021. 1. Written -report describing project activities conducted with grant funds. Include details: who, what, where, when, why. Describe how the Secretary's Standards were applied. Summarize public outreach, input, and review comments. 2. Final billing/reimbursement request with financial documentation supporting claimed eligible costs. 3. One digital copy of each of the final sign and map, with photographs of the signs installed. Digital copy must adhere to Digital Product Submittal Guidelines in Appendix G of this agreement. (i.e. JPEG in minimum resolution of 3000x2000 pixels or 6 megapixels) 4.
