<br />I <br /> <br />I <br /> <br />I <br /> <br />Sponsored by: ~ <br /> <br />CITY OF SEWARD, ALASKA <br />RESOLUTION 2001-137 <br /> <br />A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF SEWARD, <br />ALASKA, DETERMINING THAT IT IS IN THE PUBLIC'S INTEREST TO <br />WAIVE THE NORMAL BID PROCESS PER CITY CODE ~6.10.130 AND <br />AUTHORIZE THE CITY MANAGER TO ENTER INTO LEASE <br />AGREEMENTS WITH XEROX FOR THE PURPOSE OF REPLACING AND <br />UPGRADING THE COPIERS IN THE CITY HALL BASEMENT AND MAIL <br />ROOM <br /> <br />WHEREAS, the City currently leases from Xerox a model 5800F copier located in the <br />basement of city hall that is primarily used for high volume uses, such as the Council packets, <br />annual fmancial reports and budget reports; and <br /> <br />WHEREAS, the City also leases from Xerox a model DC332 copier located in the mail <br />room near the administrative and fmance offices in city hall; and <br /> <br />WHEREAS, the Xerox 5800F copier has been experiencing higher than nonnal downtime <br />and maintenance calls; and <br /> <br />WHEREAS, Xerox has recommended that the City replace the 5800 with a new digital <br />Xerox copier, model DC490SDX; and <br /> <br />WHEREAS, Xerox has recommended replacing the mail room copier Xerox model 332 <br />with a Xerox model DC432T to take advantage of the city hall computer networking system; and <br /> <br />WHEREAS, by upgrading the General Services copiers, there will be soft cost savings by <br />reducing the number of computer printers needed in city hall, a lower cost per page with a copier <br />than a printer and reduced labor from monitoring copying jobs vs being able to set the job up on <br />a computer and sending it to the copier to be printed; and <br /> <br />WHEREAS, the leases are for sixty (60) months and include the required non- <br />appropriation clause which allows the City to tenninate the lease if monies are not appropriated <br />for any given budget year; and <br /> <br />WHEREAS, it is in the public interest to waive the nonnal bidding process per City Code <br />~6.1O.130 based on the following: 1) the current copiers have a higher trade-in value with Xerox; <br />
